Email Privacy Policy

Last Updated: May 14, 2026

Overview

Cedar Springs Camp ("we," "us," or "our") communicates with families and individuals through email in two channels:

  1. An announcements mailing list, used for camp news, event invitations, and registration-window heads-ups. This Privacy Policy covers that channel.
  2. Transactional reservation messages tied to specific camps you have signed up for — confirmations, schedule notices, payment reminders, transportation logistics. These travel through a separate system and are addressed in their own section at the end of this policy.

The sections below explain what we collect on the announcements list, how we use it, who we share it with, and the choices available to you.

What we send on the announcements list

Some of these messages are marketing or marketing-adjacent in nature — they invite you to register before a deadline, come back for the next camp, or attend an event you might otherwise miss. Every announcement we send carries a one-click unsubscribe link in the footer.

How we collect your email address

Email addresses on our mailing list come exclusively from families and individuals who have given us their contact information directly, through one of these channels:

We do not purchase, rent, scrape, harvest, or otherwise acquire email addresses from third parties.

How we use your information

Your email address is used solely to send the categories of email described in "What we send" above. We do not use your information for any other purpose, and we do not use it to build profiles for advertising.

Sharing

We do not sell, rent, trade, or otherwise share your email address or related contact information with third parties for their own marketing purposes. We use Mailgun, an email delivery service operated by Sinch, to send our messages. Mailgun processes our outbound mail, bounce reports, and engagement metrics on our behalf and is contractually bound to handle that data only for delivering our email.

Tracking

Our emails may include standard open and click tracking provided through Mailgun. This helps us understand whether the right families are receiving messages they find useful and whether our reminders are reaching their intended audience. We do not share this engagement data with anyone outside of Cedar Springs Camp.

Unsubscribing

Every announcement we send includes a one-click unsubscribe link in the footer. You can also visit https://bulk-email.cedarsprings.camp/unsubscribe.php using a link from any prior email. Unsubscribes are processed immediately, and you will no longer receive announcement emails after that point.

Bounced and invalid addresses

If an email address bounces permanently (for example, the inbox no longer exists) or our delivery partner reports the address as unable to receive mail, we automatically stop sending to it. This protects both your inbox and our sender reputation.

Children's privacy

Although our programs serve children, our email program is designed for parents, guardians, and adults who interact with our office on behalf of a camper. We do not knowingly collect email addresses directly from children under 13. Email contacts associated with a camper account belong to the responsible adult on that account.

Data retention

We retain your email address for as long as your family has an active relationship with Cedar Springs Camp or has opted in to receive announcements. If you unsubscribe, we keep your email address on file in a suppressed state so that we do not accidentally mail you again in the future. You may also request full deletion by contacting our office (see below).

Your choices

Transactional reservation emails

Confirmations, schedule changes, transportation logistics, and payment reminders tied to a specific reservation are sent through our reservation back-office system rather than the announcements mailing list described above. That system delivers mail through Google's mail servers, on its own infrastructure, and is not governed by this Privacy Policy.

Because those messages are tied to services you have specifically requested from us — a camp you have already registered for, a payment that is due, a bus that is leaving — they do not include an unsubscribe link. If you wish to stop receiving them, you must cancel the underlying reservation or contact our office at the address below.

Changes

We may update this Privacy Policy from time to time. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of our email program after a change constitutes acceptance of the updated policy.
